What documents to take with you — and what to sort out after arrival

Most problems come not from the border but from a small thing left at home or not done in the first week. Here is the full order of actions.

Documents for working in Poland are not just a single folder, but three different stages: what to pack at home, what to keep close at hand on the road, and what to arrange once you arrive. The third stage is where most problems occur, and it is usually the one you are not warned about.

1. At home: things you won't be able to get later

  • Biometric passport with sufficient validity.
  • Basis for work — notification to PUP, oświadczenie or permit, depending on citizenship.
  • Diplomas and certificates — these are what determine your rate.
  • Sworn translations — without them, the document practically does not exist for government offices. At home, this is usually cheaper and faster.
  • Birth and marriage certificates — if you are traveling with family or planning a reunification.

2. On the road: not in your luggage, but close at hand

Passport, basis for work, residential address, employer's contact details written down separately (not just in a messenger app — there might be no internet) and money for the first few weeks. Remember: the first full salary will only arrive in 5–6 weeks.

3. The first two weeks: three things that decide everything

This is the most important part. This is where most later problems arise — and it is the one most often left to chance.
  • Written contract before starting work. The conditions in it must match what was promised verbally.
  • Registration with ZUS within 7 days. Without it, there is no insurance, no sick leave, and no work experience record. This is worth checking, not assuming.
  • PIT-2 declaration. One page that reduces your tax every month. Without it, you pay more all year round — and only get it back in your tax return.

Next — PESEL, meldunek, bank account. And if you entered on a visa-free regime and plan to stay — the application for a residence permit is submitted before the end of 90 days, not after.
